How to Organize a Golf Game

Use this guide whenever you need help setting up a one-time game or recurring golf group. Each section explains what the fields mean and what your golfers will see.

Start with the basics

You do not have to memorize any of this. When you are creating a game, short help text will appear beside the fields. This page is here whenever you want a more detailed explanation.

Choose what you are creating

Decide whether this is a one-time golf game or a recurring golf group.

One-Time Game
Use this when the group is only playing together for this specific round.
Recurring Golf Group
Use this when the same group plays regularly. Create the group once, then create each new game without rebuilding the player list.
Tip: Your recurring group can have any name you choose.

Name the game or group

Choose a name your invited golfers will recognize.

Group Name
The permanent name used for a recurring golf group.
Game Name
The name used for the individual round or event.

Choose the golf course

Select the course where the game will be played.

Golf Course
Search the Tune-Up Golf course database and select the correct course.
Add Golf Course
If the course is not already listed, add it so it can be available for future games.

Set the date and tee times

Add the game date and every tee time available for the group.

Game Date
The date the round will be played.
Tee Times
Add one or multiple tee times. Final assignments can be made later.

Set the player limit

Tell Tune-Up Golf how many golfers may participate.

Maximum Players
Once the maximum number of accepted golfers is reached, the game can automatically be marked full.
Tip: Additional invitees may receive a game-full message once capacity is reached.

Choose whether the game is private or open

Decide whether only invited golfers can participate or whether new golfers may discover the game.

Private Game
Only golfers you invite will receive access to the game.
Open to New Players
The game may be eligible to appear through Find a Game.

Invite golfers

Choose the golfers you want to invite to this game.

Invite List
Select golfers from your existing group or invite additional players.
Invitation
Invitees receive clear information showing who invited them, the golf course, the game, and how to respond.

Set RSVP options

Decide when golfers need to respond and what information they can request.

RSVP Deadline
The date or time by which golfers should answer Yes or No.
Tee-Time Request
Allows golfers to request a preferred tee time.
Playing Partner Request
Allows golfers to request someone they would like to play with. The organizer controls the final groups.

Choose the game format or side games

Tell golfers what kind of competition, side game, or informal wager is being used.

Competition / Wager Type
Examples may include no wager, skins, money game, drinks, team bet, side bet, or another format.
Game Notes
Use this area for special game rules, payouts, drink arrangements, or anything else golfers should know.

Choose reminder timing

Decide when golfers should receive game reminders.

Night-Before Reminder
Sends participating golfers a reminder the evening before the game.
Morning-Of Reminder
Sends golfers another reminder on the morning of the round.

Assign final groups and tee times

Once responses are in, organize the accepted golfers into final groups.

Final Group Assignment
Arrange golfers into foursomes or other group sizes.
Final Tee Time
Assign each group its final tee time.

Send the final tee sheet to the pro shop

Once the groups and tee times are finalized, send the pro shop a clean copy so staff can prepare for the game and know exactly who is playing in each time.

Review Tee Sheet
Review each tee time and golfer before sending anything to the golf course.
Player Name
The golfer’s name appears under the assigned tee time and group.
Member / Guest
Clearly identify whether each golfer is a member of the course or a guest.
Guest Of
If the golfer is a guest, show the name of the member whose guest they are.
Export Format
Choose PDF, Excel/CSV, or both depending on what the pro shop prefers.
Pro Shop Email
Confirm or enter the golf course or pro shop email address.
Send to Pro Shop
Email the finalized tee sheet directly to the pro shop. The organizer may also download the PDF or spreadsheet for their own records.
Why this helps: Pro shops often have to manually build player lists and tee-time assignments. Sending a clean finalized tee sheet gives them the names, groups, member/guest status, and guest relationships before players arrive.

Publish the final game information

Once everything is ready, golfers can see their final game details.

Finalized Game
Participating golfers see their course, date, tee time, group, organizer, and applicable game information.
Player Notification
Notify golfers when their final tee time and playing group are ready.
Add to Calendar
Golfers may add their finalized game and tee time to Google Calendar when that feature is available.
